Guides › For consultants

For consultants & fractional executives

How should an independent consultant keep track of clients and pipeline?

The short answer

In one place that updates itself from your email and calendar: engagements with their hours and end dates, proposals with one clear next step each, and invoices that chase themselves. Water LLM keeps all three in a Google Sheet you own and tells you each morning what needs moving.

Launching soon on the Google Workspace Marketplace. $30/month, or $300/year — one plan, every feature.

What slips when you’re billable all week

Delivery crowds out everything else. Water LLM watches the parts that quietly cost you money.

Proposals with no next step

Every deal gets one next step and a due date. Water LLM notices when it’s done — you emailed, they replied, a meeting was booked, an invoice went out — clears it, and suggests the next one.

Next steps on deals →

Engagements running out

Hours used are counted from your calendar against what was contracted, and the end date is watched. You see Hours At Risk and End Date Approaching before they become an awkward email.

Engagement tracking →

Invoices nobody chased

PDF invoices from your own template, saved to Drive and drafted in Gmail. Reminder drafts at the milestones you choose, and an aged-receivables digest every Monday.

Invoice reminders →

Prep before an important meeting

Pick a meeting and a prep type — discovery, proposal or check-in — and a briefing grounded in your history with them arrives in your inbox.

Meeting Prep →

A follow-up after every discovery call

Tell it which meeting titles deserve a follow-up. Within the hour after one ends, a draft is waiting in Gmail and a task is on your list.

Meeting Follow-Ups →

Your business, read back to you

A Friday briefing on the week behind and the fortnight ahead, and a monthly read of revenue, collections and clients at risk.

Your morning, in one email

Next steps that are due, invoices that are late, and a card for each meeting with everyone in it — their role, their goal, and what happened last time.

  • Next steps on your deals, each with a one-tap button to set or change it
  • Steps Water LLM saw you finish overnight, with a suggested next one
  • Overdue invoices and pipeline deals that have gone stale
  • A block for every attendee — client, sponsor or prospect

Questions consultants ask

Does it handle both clients and pipeline?

Yes. Prospects and proposals live on the Biz Dev tab as deals with stages you name yourself; active engagements live on the Clients tab with start and end dates, contracted hours and flags. A deal that closes but never becomes a client row shows up as a task.

Can I use it as a fractional executive with several clients at once?

That is one of the cases it is built for: one row per engagement, hours worked out from your calendar for each, and a briefing that prepares every meeting whichever client it is for.

Is it a team CRM?

No. Water LLM is for one person running their own book of business. If several people need to share and update one pipeline, a team CRM will suit you better — see Water LLM vs HubSpot.

Will it ever email my clients without me?

No. Outreach, follow-ups, invoice reminders and birthday notes are created as Gmail drafts. You read them, change them if you want, and send them yourself.

Where does my data live?

Your CRM is a spreadsheet in your own Google Drive, and the add-on runs under your own Google account. Water LLM’s servers hold your subscription record — your email address and billing status — not your contacts, emails or notes. For the AI features: Prompts and AI responses are never used to train, fine-tune or improve any AI model — a contractual commitment covering all Vertex AI customers. All processing happens inside Google Cloud; no third-party AI provider is involved, and Water LLM retains no copy. Google may briefly retain request data for abuse monitoring under its standard Vertex AI terms; that data is not used for training and Saville Coaching cannot access it. The full list is on Security.

How much does it cost?

One plan with every feature: $30 a month, or $300 a year ($25 a month). No per-seat pricing and no feature tiers. Water LLM is launching soon — join the waitlist and we’ll email you when it’s on the Google Workspace Marketplace.
