Google Workspace

Can you run a real CRM inside Google Sheets and Gmail?

The short answer

Yes — if something keeps the sheet up to date for you. Water LLM is a Google Workspace add-on that turns a Google Sheet into a CRM: it reads Gmail and Google Calendar for every contact overnight, syncs both ways with Google Contacts, and uses AI on Google Cloud to draft outreach and brief you each morning. The CRM is a spreadsheet in your own Drive.

Launching soon on the Google Workspace Marketplace. $30/month, or $300/year — one plan, every feature.

How it works

Water LLM installs from the Google Workspace Marketplace and appears as a menu inside Google Sheets. It is Google Apps Script running under your own Google account, so it reaches your Gmail, Calendar and Contacts the way any Workspace add-on does — with the permissions you grant on the consent screen.

Overnight, in order, it:

  • pushes the day’s edits out to Google Contacts, then pulls Contacts changes back;
  • reads Gmail and Calendar per contact and writes last email, last meeting and last contact;
  • recalculates client hours, health scores and flags;
  • sends your Daily Briefing with the day’s meetings and tasks.

You change the times, or switch any of it off, from the add-on. The full schedule.

What Google Sheets gives you that a hosted CRM doesn’t

You own the database

Your CRM is a file in your Drive. Cancel and the spreadsheet stays, with every row you built — there’s no export step and no lock-in.

Your schema, not ours

Add a column for anything. Water LLM resolves its own columns by header, so your additions don’t break it.

Formulas and views you already know

Sort, filter, pivot and chart with the tools you’ve used for years. The dashboard is built from formulas you can read.

Nothing new to log in to

No separate app, no second password, no browser extension. It lives in Sheets, and its emails arrive in Gmail.

Where your data goes

Your contacts, CRM rows, invoices and notes live in your own Google Sheets, Drive and Contacts. Water LLM’s own servers keep a subscription record — your email address and billing status — and nothing about your relationships.

The AI features run on Google Cloud’s Vertex AI and are sent only what each feature needs. Prompts and AI responses are never used to train, fine-tune or improve any AI model — a contractual commitment covering all Vertex AI customers. All processing happens inside Google Cloud; no third-party AI provider is involved, and Water LLM retains no copy. Google may briefly retain request data for abuse monitoring under its standard Vertex AI terms; that data is not used for training and Saville Coaching cannot access it.

Security & your data lists every field we store; Data & Privacy breaks down what each AI feature sends.

The honest limits

  • It’s one person’s CRM. Built for a solo practice, not a sales team sharing a pipeline.
  • Google sets the quotas. Free Gmail accounts have lower daily limits than Workspace; very large contact lists are happier on Workspace.
  • It’s overnight, not instant. Most tracking refreshes once a day. Anything can be run by hand from the menu.
  • Email, Calendar and LinkedIn only. WhatsApp, text and other channels aren’t tracked.

Questions about running a CRM in Google

Do I need Google Workspace, or does a free Gmail account work?

A free Gmail account works. Google Workspace is recommended for large contact databases: Google gives Workspace accounts higher daily limits — for example 1,500 Gmail drafts a day instead of 50.

What Google permissions does it ask for, and why?

Every permission, what it is used for and why a narrower one wouldn’t work is listed on Permissions, generated from the add-on’s own manifest.

Will it break my existing spreadsheet?

Water LLM sets up its own tabs and finds its columns by header name rather than position — so you can add columns of your own alongside them. The few habits worth knowing.

Does it sync with Google Contacts?

Yes, both ways. Changes in the sheet go out to Google Contacts overnight, and changes made in Google Contacts come back.
